A personal secretary is typically responsible to a single person, manager or executive. Other secretaries may work as the assistant to a small group of people, and the group shares the assistant’s time.

Some of the biggest employers include law offices, school districts, insurance companies, financial institutions, government agencies, hospitals, real estate agencies, advertising agencies, retailers and manufacturers. Some companies even hire virtual secretaries. A virtual secretary is someone who doesn’t even have physical contact with the person or persons they are assisting. All of the contact is done online or by phone.
One of the largest specialty group of administrative assistants is in the legal profression. A legal secretary works in a law office assisting paralegals and lawyers. A legal secretary has specialized knowledge in legal terminology and must know legal profession basics.
Besides the typical duties of a secretary, a legal secretary will prepare and distribute legal documents and correspondence. Some of the legal documents they will prepare include legal motions, complaints, responses, subpoenas, reports, interviews, briefs, depositions, jury instructions, opinions, resolutions, contracts, and related documents that will vary by what type of law her department or firm performs.
Administrative assistants and executive assistants have many responsibilities and most companies do not want to take the time to train an assistant, so someone wanting to break into this field will need to get the necessary training to be able to handle many of the initial job duties as soon as they are hired.
Fortunately, there are schools and training centers that offer classes and full degree programs in administrative assistant development. These courses teach the basics of office work and office management, from computer instruction and developing written communication skills to how to be organized and efficient and effectively manage an office as an administrative assistant.
These secretary training programs vary in their length. Most education programs take less than two years to complete. Some classes will last only a few months. You just have to find out what’s available in your area.
If you don’t have any work experience at being an assistant, it can be hard to get that first job unless you have a little formal training or education.
